Introducing an All-New F-Gas Module for HVAC and Refrigeration Contractors

Service Geeni has rebuilt its F-Gas module for commercial HVAC and refrigeration contractors, closing the gaps that used to make compliance records a headache. This post covers what's changed, why it matters now, and what it means whether you're already running the platform or weighing it up for the first time.

Why we've rebuilt the F-Gas module, and why now matters

Service Geeni has always supported commercial HVAC and refrigeration contractors, and F-Gas compliance has become a bigger part of running that work well. We've rebuilt the F-Gas module from the ground up, closing the gaps that used to leave compliance records sitting apart from the job itself. The result is an all-new F-Gas module, built around the same asset register that already sits at the centre of the platform.

There's also a sharper reason this update matters right now. The UK's F-Gas regime is still moving. Defra's consultation on the HFC phasedown schedule confirmed in May 2026 that it won't change the phasedown steps due from January 2027, while staying committed to a steeper schedule once the detail is settled. REFCOM, the certification scheme most contractors know best, hit a membership milestone this summer, crossing 10,000 members, and BESA puts the growth down to tightening scrutiny on technical competence and compliance across the sector rather than anything easing off. It isn't only REFCOM that people are weighing up, either. Graeme Fox, the technical lead who ran REFCOM for years, left for the rival F-Gas Register at Quidos instead, and which scheme to back became a live question for a lot of businesses for the first time in years.

None of that changes what you have to do day to day. It does mean that whichever register you're on, the records behind it need to hold up on their own, and that's the exact gap we've closed.

‍

What's new in the F-Gas module

The module adds:

  • Cylinder, transaction and leak-check reporting, recorded against the asset rather than kept separately
  • Site-level CO2 tonnage, so refrigerant exposure is visible by site as well as by individual job
  • Custom compliance forms, typically built in around two hours, so your own paperwork goes into the system rather than a generic template standing in for it

The point of building it this way is that a compliance record and a job record used to live apart. An engineer would do the work, then someone else would reconstruct the F-Gas paperwork from memory or a separate spreadsheet. Now the record gets created at the same time as the job, against the same asset, so there's one version to defend if an auditor or the Environment Agency ever asks for it.

‍

Built around the asset, not bolted on

Every F-Gas record sits against the same asset register that already holds the service and breakdown history for that unit, so an engineer or a compliance manager is pulling one record rather than reassembling three. Alongside it, FM and multi-trade operators get rate cards and SLA-driven work, including dual SLAs, with repair evidence documented at the point of work rather than written up afterwards. Because all of this sits in one system, reporting and operational insight come with it by default. For businesses still coming off manual records or spreadsheets, that's often the bigger win day to day.

‍

What this looks like for customers already using it

  • One commercial AC and HVAC customer grew monthly billing from £2,500 to £286,000 as their engineer headcount went from two to around 30, tracked through our own job and billing data between January 2023 and May 2026
  • A multi-trade customer that started on Service Geeni for the non-HVAC side of its business has since brought its F-Gas work onto the platform too, now that the module exists, rather than continuing to run it separately on paper
  • Live customers are already running the F-Gas module today, across commercial air conditioning and air compressor businesses

‍

Who this is for right now

This is built for commercial AC and HVAC contractors and commercial refrigeration operators who already run an asset register and sell planned maintenance work, not businesses doing one-off installs. FM and multi-trade operators, and BESA-tier contractors spanning several trades, are also a good fit at the smaller end, with nothing extra needed to support them.

If your business runs reactive callouts only, with no asset register behind the work, this isn't the right fit yet. That's a deliberate line, not an oversight.

Where to go next

If you want the operational detail behind this, our guide to running planned HVAC maintenance covers scheduling, F-Gas and software selection in full, and our piece on the operational challenges facing UK HVAC businesses goes into the pressures driving all of this from the contractor's side.
